More communications to come from Alison Martin on timing.<\/li>\n<li>The Plateau unfed herd will be moved into the Pond pasture on Sat. Feb 2. Erica will handle this move.<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<p><strong><u>MINUTES<\/u><\/strong><\/p>\n<p><strong>Board\u00a0Members Attendance (held at Lisa\u2019s house) \u2013 Meeting commenced around 7:00 pm:<\/strong><\/p>\n<ul>\n<li><strong>Board Members Present at Meeting:<\/strong>Alix, Diane, Elise, Heather, Lisa, Wakean<\/li>\n<li><strong>Board Member Absent from Meeting:\u00a0<\/strong>Linda<\/li>\n<li><strong>Non-<\/strong><strong>Board Members Present:<\/strong>Sonny Wesley, Scott McAllister<\/li>\n<\/ul>\n<ul>\n<li>Approve Agenda \u2013 Approved Heather\u2019s Agenda with the following changes.\n<ol>\n<li>Defer Role of Mentors to the next meeting.<\/li>\n<li>Defer LSR Fencing and Charger discussion to the next meeting.<\/li>\n<li>Add on Debrief on Horse Escape after Treasurer\u2019s Report<\/li>\n<\/ol>\n<\/li>\n<\/ul>\n<ul>\n<li>Consent\/Standing Items\n<ol>\n<li>Minutes of last meeting approved with the following change: Corrected non-Board member present to Bob Reid (not Bob Weir).<\/li>\n<li>Review of the Planning Grid\n<ul>\n<li>Key items under Month of January: None outstanding for December.\n<ul>\n<li>Renewed insurance policies<\/li>\n<li>Submitted SI 100 form for non-profit status<\/li>\n<\/ul>\n<\/li>\n<li>Month of February: Feeding ends in February.<\/li>\n<\/ul>\n<\/li>\n<\/ol>\n<\/li>\n<\/ul>\n<ul>\n<li>Membership Issues\n<ol>\n<li>Status of Open spaces\n<ul>\n<li>Rachel Royce informed the Board that she intends to give up her membership space. She has removed her horse, but if he develops pigeon fever she will bring Harry back for convalescence.\u00a0 We will keep the membership advised once the situation is finalized<\/li>\n<\/ul>\n<\/li>\n<li>Member Status\n<ul>\n<li>Cathryn Houghton: Cathryn wants to take her time finding the appropriate horse.\u00a0 She is considering whether she wants to buy a horse now, ask for an extension or become an Associate Member.\u00a0 Lisa M.\u00a0 having conversation with her to clarify situation.<\/li>\n<li>Suzette Curran: 2<sup>nd<\/sup>horse space has been paid for.\u00a0 She has indicated that her new horse is being vet checked in NC before shipment but does not have an incoming date yet.<\/li>\n<\/ul>\n<\/li>\n<\/ol>\n<\/li>\n<\/ul>\n<ul>\n<li>Interview of Prospective Associate Member \u2013 Scott McAllister\n<ol>\n<li>Being sponsored by Sonny Wesley. Sonny has known Scott for 30 years.<\/li>\n<li>Scott has been up at OHA many times with Sonny and also knows Wakean. Has helped on work projects in the past.\u00a0 Scott is very handy with tools.<\/li>\n<li>Intention for involvement is to help with work projects \u2013 is retired and available. And to ride more often.<\/li>\n<li>Motion was made to accept Scott as Associate Member. Board voted unanimously to accept Scott as an Associate Member.<\/li>\n<\/ol>\n<\/li>\n<\/ul>\n<ul>\n<li>EBMUD report\n<ol>\n<li>Status of AGP\n<ul>\n<li>No update yet from EBMUD.<\/li>\n<li>Kerry did speak to Wakean about the prior water break.<\/li>\n<\/ul>\n<\/li>\n<li>Capital Improvements: no further detail because the AGP has not been approved yet.<\/li>\n<\/ol>\n<\/li>\n<\/ul>\n<ul>\n<li>Treasurer Report\n<ol>\n<li>Finalized 2018-19 Budget: Motion was made to finalize budget.\u00a0 Board voted to approve the budget 2018-19 as final.\u00a0 Attached to minutes.<\/li>\n<\/ol>\n<\/li>\n<\/ul>\n<ul>\n<li>Debrief on Horse escape escapade\n<ol>\n<li>Discussed using 2<sup>nd<\/sup>\u00a0chain approach around any boundary gate with access to road. This way there would be a \u201cclipped\u201d chain (without a lock) and a chain with a lock.\u00a0 Wakean will look into the U-clips.<\/li>\n<li>Heather set-up a text alert on her phone. More will be discussed about how best to notify\u00a0 members of an emergency \u00a0at the Emergency Preparedness meeting.<\/li>\n<li>Diane shared her discussion with Animal Control (the Danville field office). They indicated it would be helpful to have maps of the area and keys to get in.\u00a0 Questions to be followed up on:\n<ul>\n<li>Wakean will ask EBMUD about Animal Control having keys<\/li>\n<li>May need more research as to which Animal Control field offices should be advised.<\/li>\n<\/ul>\n<\/li>\n<li>Kerry of EBMUD offered to make signs with emergency numbers on them to post at the gates. Heather will follow-up on that.<\/li>\n<li>The Emergency Preparedness meeting had to be postponed due to illness and is being rescheduled.<\/li>\n<\/ol>\n<\/li>\n<\/ul>\n<ul>\n<li>Plan for Spring Confinements\n<ol>\n<li>Heather handed out Erica\u2019s document from last year regarding proposal planning for Spring confinement, to begin the discussion.<\/li>\n<li>Have 12 spaces identified now.<\/li>\n<li>Issues:\n<ul>\n<li>Beer Can fencing needs to be completed.<\/li>\n<li>Beer Can Corral needs repair.<\/li>\n<li>If the number horses needing confinement exceeds the locations for housing horses off pasture, what is the back-up plan? Need to have a protocol.<\/li>\n<\/ul>\n<\/li>\n<li>Discussed:\n<ul>\n<li>Possible sacrifice area fenced in the Beer Can but would need to confer with EBMUD. Heather to check with Erica.\u00a0 Wakean to check with EBMUD.<\/li>\n<li>Recommending use of grazing muzzles. There is a certain brand that is recommended.\u00a0 Wakean will get back with that information.<\/li>\n<\/ul>\n<\/li>\n<\/ol>\n<\/li>\n<\/ul>\n<ul>\n<li>Facilities Projects\n<ol>\n<li>Back 40: Board is checking on status.<\/li>\n<li>Beer Can Saddling Area Fencing and Gates:\n<ul>\n<li>Proposals for the fencing and gates was submitted by Alison Martin and Beer Can Pasture team.<\/li>\n<li>Board agreed priority was fixing the Beer Can paddock and fencing by March 1 since we need that as usable space for Spring confinements. The gates are a second priority.<\/li>\n<\/ul>\n<\/li>\n<li>Hay Tent in Lower Sullivan Ranch (LSR) pasture: DEFER to next Board Meeting<\/li>\n<\/ol>\n<\/li>\n<\/ul>\n<ul>\n<li>Contagious Disease protocol: DEFER to next Board Meeting<\/li>\n<\/ul>\n<ul>\n<li>Executive Session: attended by Board Members only.<\/li>\n<\/ul>\n<p><strong>Next Board Meeting\u00a0<\/strong>\u2013\u00a0<strong>Tuesday, Feb. 12, 2019 \u00a0at 6:45 pm.\u00a0 Lisa McLaughlin\u2019s house.<\/strong><\/p>\n<p><strong>Thank yous:\u00a0 (Send info to Elise if you want to \u201cToot your horn\u201d and be included in the next Minutes.\u00a0\u00a0 If I missed anyone send me email and I will include in next minutes).<\/strong><\/p>\n<ul>\n<li>Tanya, Lisa M., Suzette and Becky for \u201csaving\u201d 24 bales from the Upper Sullivan hay enclosure and moving them to the Red Barn.
