Organized by Gary Fitts.\u00a0 RSVP to Gary at email:\u00a0<a href=\"mailto:gary@ifitts.com\" target=\"_blank\" rel=\"noreferrer noopener\">gary@ifitts.com<\/a><\/li>\n<li>As secondary work party to finish up any hay preparation or work that was not completed on the August 3<sup>rd<\/sup>\u00a0date: Sun, August 11 from 9:00 am \u2013 noon.\u00a0 Organized by Alix Quay.\u00a0 RSVP to Alix at email:\u00a0\u00a0<a href=\"mailto:alixquay@aol.com\" target=\"_blank\" rel=\"noreferrer noopener\">alixquay@aol.com<\/a><\/li>\n<\/ul>\n<\/li>\n<li>**SAVE THE DATE**: Annual Meeting date set for Sept 8 at 3:00 at Eddie Reiter\u2019s house at 83 Silverwood Drive, Lafayette.\u00a0 With Potluck to follow meeting (at the end).<\/li>\n<li>Refer to July 2, 2019 Board Meeting minutes for additional rule changes to Horse Health and Safety rules which are out for comment period ending August 14, 2019.<\/li>\n<\/ul>\n<p>&nbsp;<\/p>\n<p><strong><u>MINUTES:<\/u><\/strong><\/p>\n<p><strong>Board\u00a0Members Attendance (held at Lisa\u2019s house) \u2013 Meeting commenced around 7:00 pm:<\/strong><\/p>\n<ul>\n<li><strong>Board Members Present at Meeting:<\/strong>Alix, Diane, Elise, Heather, Linda, Lisa, Wakean.<\/li>\n<li><strong>Non-board Members Present:<\/strong>\u00a0Heather Macbeth for Associate Member interview portion.<\/li>\n<\/ul>\n<ul>\n<li><strong>Approve Agenda<\/strong>\u2013 Agenda approved with following changes:\n<ul>\n<li>Added 3) d) Mentors for new members<\/li>\n<li>Deferred 7) a) Dog leases at Pavilion<\/li>\n<li>Added 7) b) Work Party<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<ul>\n<li><strong>Consent\/Standing Items<\/strong>\n<ol>\n<li>Minutes of last meeting were\u00a0approved as sent out to membership.<\/li>\n<li>Review of Planning Grid<\/li>\n<\/ol>\n<\/li>\n<\/ul>\n<p><strong>July<\/strong><\/p>\n<p>Prepare feeding schedule \u2013 on agenda<\/p>\n<p>Hay order \u2013 on agenda<\/p>\n<p>Prepare hay areas \u2013 on agenda<\/p>\n<p>Pick yellow star thistle \u2013 Lisa M. and Alix checked and none visible in Plateau pasture.\u00a0 Alix will recheck Seaview again.<\/p>\n<p>Set date for Annual Meeting \u2013 Done<\/p>\n<p><strong>August<\/strong><\/p>\n<p>Pay state corporate tax \u2013 Diane notified<\/p>\n<p>Pull yellow star thistle \u2013 see July comments<\/p>\n<p>Create list of Capital Improvement projects for next year \u2013 on agenda<\/p>\n<ol>\n<li>Pasture rotation schedule\/upcoming herd moves\n<ul>\n<li>Herd from Pond to USR 7\/25\/19<\/li>\n<li>Through gate move 8\/18-19 to Forest Meadow. Alix and Eddie to coordinate (Erica is out of town)\n<ul>\n<li>Mid-late August Fire Break work along road will be starting.<\/li>\n<li>Linda will work with Erica on Fire Break issues that impact herd in pastures.<\/li>\n<\/ul>\n<\/li>\n<li>No in-hand moves for a while.<\/li>\n<\/ul>\n<\/li>\n<\/ol>\n<ul>\n<li><strong>Membership Issues<\/strong>\n<ol>\n<li>Associate Member Interview \u2013 Heather Macbeth\n<ul>\n<li>Requesting Associate Member sponsorship under Kim Zvik.<\/li>\n<li>After Heather\u2019s interview. The motion was made and seconded: to approve Heather Macbeth as Associate Member under Kim Zvik.\u00a0 Vote taken and passed.\u00a0 This is pending all the appropriate paperwork filled out and payment of dues.\u00a0 Diane will contact Heather to inform her and make sure all paperwork is signed and on file with the Membership Coordinator.<\/li>\n<\/ul>\n<\/li>\n<li>Bob Reid probationary proprietary member review\n<ul>\n<li>Board discussed Bob\u2019s probationary proprietary member review.<\/li>\n<li>Motion was made and seconded to approve Bob Reid as a full proprietary member. Motion was voted on and passed.<\/li>\n<li>Heather will email Bob with this approval.<\/li>\n<\/ul>\n<\/li>\n<li>Status of open spaces\n<ul>\n<li>There were 6 open membership spaces at the last Board Meeting.<\/li>\n<li>2 openings were filled by Megan Holmes who is bringing in 2 new horses in early August.<\/li>\n<li>1 space being taken by Elka Carl: Associate Member to now probationary proprietary member.<\/li>\n<li>3 spaces remain open.<\/li>\n<\/ul>\n<\/li>\n<li>Mentors for new probationary proprietary members\n<ul>\n<li>Megan Holmes: Lisa McLaughlin mentor<\/li>\n<li>Elka Carl: Doug Ross mentor<\/li>\n<li>Trish\/Gary: Linda Furtado along with Sally Weare as co-mentors<\/li>\n<\/ul>\n<\/li>\n<\/ol>\n<\/li>\n<\/ul>\n<ul>\n<li><strong>EBMUD Report<\/strong>\n<ol>\n<li>Capital Improvement Projects\n<ul>\n<li>AGP signed (finally!) \u2013 Delay was at EBMUD<\/li>\n<li>Since so late for approval we may need to roll over some to next year. EBMUD understands given the late approval that we may need more time to finish capital improvement projects.<\/li>\n<li>If using weed-eater, carry fire extinguisher with you.<\/li>\n<li>Key AGP items:\n<ul>\n<li><strong><u>MOWING\/WEED REMOVAL:\u00a0<\/u><\/strong>has 30 hours in plan:\u00a0 so far have done 20 hours of mowing and then there is the additional hand weed removal.<\/li>\n<li><strong><u>USR TROUGH REPLACEMENT:<\/u><\/strong>\u00a0The board has asked Doug, Bob and Scott to lead as a group with Megan Holmes as new member included.<\/li>\n<li><strong><u>PAINTING THE TAJ:<\/u><\/strong>\u00a0Lisa M. already coordinating with Wakean.\u00a0 Maybe carry over to next year or break into 2 sections of work.<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<\/li>\n<\/ol>\n<\/li>\n<\/ul>\n<ol>\n<li>Wakean received a request from Kim to take an item to EBMUD for approval.\n<ul>\n<li>Sand for Ring: Kim has said she would pay for a truckload of sand to be delivered\/spread in the arena, and provided Wakean an estimate from John Fouhy. Board discussed this, and since sand arenas require maintenance beyond dragging (i.e., harrowing and watering), and approval of other AGP items arrived so late, Board tabled this project for this year; Suggest arena revitalization be an item to be considered\/prioritized at Annual Meeting.<\/li>\n<\/ul>\n<\/li>\n<\/ol>\n<ul>\n<li><strong>Treasurer\u2019s Report<\/strong>\n<ol>\n<li>Report on year-to-date actuals. Diane was unable to prepare for meeting.\u00a0 Will do this so can send out to the membership.<\/li>\n<li>Diane finally received non-profit status from the IRS.<\/li>\n<li>This approved non-profit status has implication to our website.\n<ul>\n<li>Amazon website hosting is $30\/month<\/li>\n<li>Kim will move over to a hosting service that charges less for non-profits. This will be a cheaper per month website hosting.\u00a0 This was already approved previously by the Board so Diane will confirm with Kim to proceed with this project that was approved at 10 hours of work time.<\/li>\n<\/ul>\n<\/li>\n<\/ol>\n<\/li>\n<\/ul>\n<ul>\n<li><strong>Hay and Feeding Schedule<\/strong>\n<ol>\n<li>Hay Purchase (Doug)\n<ul>\n<li>August 12 is the scheduled first delivery. Delivery schedule may be impacted by the Fire break work.<\/li>\n<li>Pasture Managers responsible for getting their respective hay enclosures ready for hay delivery.<\/li>\n<\/ul>\n<\/li>\n<li>Feeding Schedule (Allison B.)\n<ul>\n<li>Allison working on.<\/li>\n<\/ul>\n<\/li>\n<\/ol>\n<\/li>\n<\/ul>\n<ul>\n<li><strong>Projects<\/strong><\/li>\n<\/ul>\n<ol>\n<li>Dog leashes at Pavilion \u2013\u00a0<strong>DEFER to next meeting<\/strong><\/li>\n<li>Work Party\n<ul>\n<li>Board discussed prioritization of Gary\u2019s list for work party.\n<ul>\n<li>Gravel in paddocks. And leveling mats.<\/li>\n<li>Preparation for hay delivery.<\/li>\n<li>Preparation for Taj for painting.<\/li>\n<\/ul>\n<\/li>\n<li>If all the pasture preparation for hay delivery is not completed on Sat. then Alix will coordinate additional work on Sun. Aug. 11 for those who cannot attend Sat but can help on Sun.<\/li>\n<li>Lisa M. will coordinate with Gary.<\/li>\n<\/ul>\n<\/li>\n<\/ol>\n<ul>\n<li><strong>Rule Change Proposals<\/strong>\n<ol>\n<li>Financial responsibility with vets (Linda)\n<ul>\n<li>The Board discussed and chose not to consider this rule change.<\/li>\n<li>The motion was made and seconded to not consider this proposal for a rule change at this time. Voted on and passed.<\/li>\n<\/ul>\n<\/li>\n<li>Clarifications to member grievance procedures (Eddie)\n<ul>\n<li>The Board decided to defer this discussion of potential procedure change.<\/li>\n<li>Lisa M. will look at when she is updating the Rules and at that time might suggest some streamlining of procedures.<\/li>\n<\/ul>\n<\/li>\n<li>Allowing a third horse (Kim)\n<ul>\n<li>The Board discussed and chose not to consider this rule change.<\/li>\n<li>The motion was made and seconded to not consider this proposal for a rule change at this time.
