Alison Martin for Beer Can Fencing discussion.<\/li>\n<li><strong>Approve Agenda<\/strong>\u2013 Approved Heather\u2019s Agenda with the following changes.\n<ol>\n<li>Move #9 from Agenda, Debrief on Feeding, to Top of Agenda so Allison Bloodworth could hook in by phone.<\/li>\n<li>Add work hours google sheet to Agenda (Lisa McLaughlin)<\/li>\n<\/ol>\n<\/li>\n<\/ul>\n<ul>\n<li><strong>Consent\/Standing Items<\/strong>\n<ol>\n<li>Minutes of last meeting\u00a0approved with the following change:\n<ul>\n<li>Alison Martin requested change to the following sentence under Beer Can Saddling Area Fencing and Gates.<\/li>\n<li>It should read as follows: Proposals for the 3 gate options was submitted by Cheryl, Caitlin and Patrick.<\/li>\n<li>Board approved minutes of last meeting with above requested change.<\/li>\n<\/ul>\n<\/li>\n<li>Review of Planning Grid\n<ul>\n<li>Feeding ended in Feb.<\/li>\n<li>Schedule vaccine clinics &#8211; reference information above in the reminder<\/li>\n<li>Develop weed abatement: \u00a0waiting for AGP approval but can start planning. \u00a0Wakean will set up an ATV mowing training session.<\/li>\n<li>Proprietary Membership dues are due on March 15 &#8211; referenced in reminder box.<\/li>\n<\/ul>\n<\/li>\n<\/ol>\n<\/li>\n<\/ul>\n<ul>\n<li><strong>Debrief on Feeding<\/strong>\n<ol>\n<li>Feeding Scheduling &#8211; Allison Bloodworth was on the phone for this portion of the discussion.\n<ul>\n<li>Allison agreed to do the scheduling for the next season.<\/li>\n<li>How went this year?\n<ul>\n<li>There was a lot of manual switching that she would like to minimize going forward.<\/li>\n<li>With current system it was difficult counting to see if one had the correct number of feedings.<\/li>\n<li>Issue: there were issues with sign-up for truck feedings if a pair needed to feed together. \u00a0Need a new method for this addressing this.<\/li>\n<li>Members overall were discontented with use of EventBrite.<\/li>\n<\/ul>\n<\/li>\n<li>Recommendations:\n<ul>\n<li>Allison will look into free or inexpensive scheduling systems.<\/li>\n<li>Diane suggested Humanity.com (and could possibly use for emergency texting also?).<\/li>\n<li>Would like to have only 1 calendar.<\/li>\n<li>Hopefully the software would have the functionality for members to switch feedings themselves and show real time changes.<\/li>\n<li>There also should be some kind of confirmation or ticket issued to member that they have the spot so this can be confirmed.<\/li>\n<li>Allison to come back to the Board with a software recommendation the end of June.\u00a0Then Board to review and develop needed process parameters.<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<\/li>\n<\/ol>\n<\/li>\n<\/ul>\n<ol>\n<li>Hay Storage &#8211; Discussion of how went this feeding season and status\n<ul>\n<li>Lower Pasture: \u00a0Lisa M. Did an initial sew up of zipper on the hay tent but needs more attention so she will finish with a strong sewing solution. \u00a0And she will further inspect for any further issues.<\/li>\n<li>Tarps \u2013 status:<\/li>\n<li>Beer Can &#8211; Elise and Tanya picked up the one tarp on El Toyonal and folded for disposal &#8211; was badly damaged with holes \u2013 not able to be salvaged. \u00a0Caitlin taking to dump. \u00a0Additionally picked up pallets and stacked.<\/li>\n<li>LSR &#8211; Elise, Doug and Tanya picked up tarps from LSR. \u00a0Salvaged one for further use as bottom tarp. \u00a0One could not be salvaged as too damaged with holes. \u00a0Hay tent donated by Michael Bowen unfortunately did not survive the winter. \u00a0Tent top torn and ripped and had blown over so frame damaged. \u00a0This will be removed. \u00a0Caitlin taking damaged tarps and tent cover to the dump.<\/li>\n<li>Lower Pasture &#8211; Update: Linda will find someone to handle the Lower Pasture tarps as Fred will not be available.<\/li>\n<li>Forest Meadow &#8211; Wakean will talk to Erica about \u00a0FM tarps.<\/li>\n<li>USR &#8211; Linda will talk to Larry about USR tarps.<\/li>\n<\/ul>\n<\/li>\n<li>Hay Quality &#8211; Really good hay this year.<\/li>\n<\/ol>\n<ul>\n<li><strong>Membership Issues<\/strong>\n<ol>\n<li>Open spaces\n<ul>\n<li>Rachel Royce: \u00a0Harry was cleared; no Pigeon fever. \u00a0Not bringing back to OHA. \u00a0Has not confirmed giving up spot to Heather. \u00a0So Diane will send email to Rachel to confirm if she is giving up her space.<\/li>\n<li>Cathryn Houghton: \u00a0Will be giving up her Proprietary space and moving to an Associate Member under Alix.<\/li>\n<li>Will be 1 member space open; possibly 2.<\/li>\n<\/ul>\n<\/li>\n<\/ol>\n<\/li>\n<\/ul>\n<ul>\n<li><strong>EBMUD Report<\/strong>\n<ol>\n<li>Status of AGP &#8211; Not heard any further status of AGP from EBMUD.<\/li>\n<li>Misc: Kerry will check out El Toyonal bar gate lock by Long\u2019s to confirm which slot it should be on.<\/li>\n<\/ol>\n<\/li>\n<\/ul>\n<ul>\n<li><strong>Treasurer\u2019s Report<\/strong>\n<ol>\n<li>Members have been sending in money for hay.<\/li>\n<li>Finally got the invoice for the lease payment.<\/li>\n<li>No further information on tax-exempt status filing. Diane still waiting for this info.<\/li>\n<li>Diane committed to providing quarterly actuals to the Board at Board meetings.<\/li>\n<li>Diane will send out information of process for reimbursement of OHA supplies.<\/li>\n<\/ol>\n<\/li>\n<\/ul>\n<ul>\n<li><strong>Preparation for Spring Confinements<\/strong>\n<ol start=\"40\">\n<li>Back 40 \u2013 Cheryl had conversation with Larry and Larry will be working on and finishing the Back 40. This is one of the designated spaces for dieting 1<sup>st<\/sup>\u00a0 week of March so needs to be ready for usage.<\/li>\n<li>Beer Can Saddling area \u2013 1 gate got put in. Fencing got started with Wakean. Caitlin and Patrick will lead several more work parties to complete.<\/li>\n<li>Dairy \u2013 work on this will be left up to the people who want to have horses in there.<\/li>\n<li>Further preparation: Lisa M. volunteered to coordinate dieters location.\u00a0 She will set out clear instructions for manure management in confined areas.<\/li>\n<\/ol>\n<\/li>\n<\/ul>\n<ul>\n<li><strong>Facilities Projects<\/strong>\n<ol>\n<li>Hay Tent in Lower Sullivan \u2013 the hay tent did not hold up and was badly damaged this winter. Michael Bowen will be removing the remaining frame.<\/li>\n<li>Electric Fencing proposal in Beer Can Pasture \u2013 Alison Martin attending Board meeting to brief on the Fencing proposals. Recommendation is have an electric fence on the interior of Beer Can and LSR boundary fences along El Toyonal Road, to be turned on only when horses are in the respective pastures.\u00a0 Alison will write up reasons for request so Heather can take proposal EBMUD for review.<\/li>\n<\/ol>\n<\/li>\n<\/ul>\n<ul>\n<li><strong>Contagious Disease<\/strong>\n<ol>\n<li>New horse quarantine \u2013 the Board had a brief discussion about how to define quarantine, what is or is not possible at OHA and how and when to apply. Since this is a complex issue, the Board tabled this matter for more discussion in the future.<\/li>\n<li>Outbreak Protocol\n<ul>\n<li>Discussed two components:\n<ul>\n<li>When efficacy of quarantine or infection disease containment is known, have specific actions outlined to follow.<\/li>\n<li>Have protocols in place to make people feel more easy about things.<\/li>\n<\/ul>\n<\/li>\n<li>Board is looking for an outline of steps to follow. Then it will be the decision of the Board if protocol should be implemented.<\/li>\n<li>Request for volunteer to do research is outlined in the reminder section of these minutes.<\/li>\n<\/ul>\n<\/li>\n<\/ol>\n<\/li>\n<\/ul>\n<ul>\n<li><strong>Work hours reporting sheet<\/strong>\n<ol>\n<li>The Google sheet will be used to record work hours given the detailed tracking needed for reporting to EBMUD.<\/li>\n<li>The Board approved use of the Google sheet which is the preferred manner for reporting work hours.
