Associate members pay their full $50 annual fee at this time.  Riding partners $25.  A $10 late fee will be assessed if dues are not paid by Oct. 1 and every month after that.  If you joined within the last 90 days, contact Diane for the prorated amount due.<br \/>\nWork hours are to be reported online in google doc link that Lisa sent out in Sept announcements All work hours are to be completed by Sept. 30, 2019.  All hours should be recorded even if you hit the minimum.<br \/>\nMINUTES:<\/p>\n<p>Meeting held at Eddie Reiter\u2019s house and commenced around 3:20 pm with Heather handing out Agenda<\/p>\n<p>Welcome and Introductions (Heather)<br \/>\nEveryone was welcomed to the meeting and Eddie Reiter thanked for opening her lovely house to all members.<br \/>\nAll members in attendance introduced themselves and if they were Proprietary, Associate, Riding Partner or Honorary Member; for how many years; horse owned or ridden; and to name one thing they were thankful about OHA cooperative.<br \/>\nOverview of the Year (Heather)<br \/>\nRecognized the Board and others with thank you\u2019s for the last year.<br \/>\nLinda \u2013 Vice President, coordinating with the Fire Break project, keeping Pasture Management teams on track<br \/>\nDiane \u2013 for being Treasurer, tracking on dues, paying bills, doing tax forms, renewing our non-profit status<br \/>\nWakean \u2013 for being EBMUD liaison and coordinating the AGP projects, not to mention doing a ton of work himself<br \/>\nElise \u2013 For being secretary, getting the minutes out in a timely manner<br \/>\nAlix \u2013 For organizing work parties and doing follow-up work from Board meetings<br \/>\nLisa \u2013 The monthly \u201cnewsletter\u201d with important info &#038; reminders is very helpful. Also lots of Board follow-up<br \/>\nErica \u2013 not on the Board, but managing our grazing rotation which is essential to our relationship with EBMUD and attainment of our tiered grazing credit which saves us money!<br \/>\nEddie and Sarah and Michael for being membership secretaries \u2013 there was a lot of turnover this year.<br \/>\nCapital Improvements<br \/>\nHeather referenced the email she sent out prior to the Annual Meeting that had all the detail regarding definitions and examples of Capital Improvements.<br \/>\nMowing efforts have been done.<br \/>\nThis year EBMUD was very late in approving the AGP therefore they will give us some extra time to get those items done.<br \/>\nAction Needed: Taj Manure project underway.  Lisa and Wakean are leading so please pay attention to your email for requests for work assistance or reach out to them directly.<br \/>\nAction Needed: Lower Pasture water trough \u2013 repair.<br \/>\nOther OHA projects accomplished<br \/>\nBack 40 improvement.<br \/>\nPavilion gravel upgrade.<br \/>\nFencing repair in Beer Can.<br \/>\nPut on extra latches to gates.<br \/>\nContagious outbreak protocol discussion still in development.<br \/>\nMembership committees interviewing new members.<br \/>\nRule clarifications \u2013 see prior minutes for more detail if not familiar with.<br \/>\n2 horses allowed for new probationary members.<br \/>\nHorse health certification.<br \/>\nSafety rule.<br \/>\nFeeding schedule \u2013 Allison B. implemented a new sign-up system this year.<br \/>\nHay Coordination order \u2013 Doug coordinated this year.<br \/>\nLongtime Members giving up OHA Membership this year<br \/>\nPam Bullen<br \/>\nDave Curto<br \/>\nFred Goff<br \/>\nAlison Martin<br \/>\nSara Shumer<br \/>\nSept 15 membership dues are due. See reminder at top of minutes.<br \/>\nSept 30 all work hours completed and reported in Google sheet sent out by Lisa in the September announcements. Make sure to record all work hours even if you go above the requirement. EBMUD is looking at all the work time that is put into the pasture.  If you have any questions on the category reach out to Marina.<br \/>\nMichael Barglow circulated the list of horses with pictures binder and pasture map.<br \/>\nMembership lists were available at meeting. Let Sarah know if any changes.<br \/>\nTreasurers\u2019 Report (Diane)<br \/>\nCurrent Financial Status \u2013 Diane emailed out current budget to the membership prior to the meeting. If any questions refer them to Diane.<br \/>\nHighlights:<br \/>\nFound out tax-exempt status had been revoked \u2013 Diane has fixed this aspect.<br \/>\nDiane will implement overview of processes so keep the institutional knowledge.<br \/>\nReality: basically come out a wash between income and expense.<br \/>\nA lot of deferred maintenance.<br \/>\nHay is biggest expense<br \/>\nInsurance another big expense (liability, auto, directors &#038; officers)<br \/>\nMember refunds was an unexpected outflow.<br \/>\nDiane willing to host a brainstorming session about the budget.<br \/>\nEBMUD Report (Wakean)<br \/>\nAGP and status of Capital Improvements \u2013 covered in Heather\u2019s overview.<br \/>\nDon\u2019t drive up \u201cnew\u201d road (road into Pond Pasture with gate opposite Pavilion) if wet or muddy.<br \/>\nUpdate: Gate at Wildcat \u2013 still under investigation, don\u2019t know yet who fixing.<br \/>\nBridge on El Toyonal \u2013 the weight limit sign has finally been put up.<br \/>\nDiscussion of how to control tule reeds in the pond<br \/>\nRotation Schedule (Erica)<br \/>\nEBMUD monitors pasture every year.<br \/>\nErica handed out 2019-2020 rotation schedule.<br \/>\nMembers raised discussion about \u201cspring\u201d grasses being so lush. Some horses prone to laminitis.  There is a lot of speculation about why more lush grasses.  So many rotations?  Rain?  Post drought?  Climate issues?  Many viewpoints.  Tricky puzzle.<br \/>\nEBMUD has commented that OHA biodiversity is amazing.<br \/>\nTask List Interest Survey (Heather)<br \/>\nSheet was passed around so members could indicate their interests.<br \/>\nThis is not a sign-up sheet but an indication of interest.<br \/>\nThe Board will review and assign tasks to members based on interest and skills.<br \/>\nCapital Improvement Projects and other Organizational Needs (Heather)<br \/>\nOverview of OHA lease payments and credits<br \/>\nEBMUD calculates OHA\u2019s lease amount annually based on a complicated formula involving the price of cattle on the Chicago agricultural market<br \/>\nWe can get credits to reduce what we pay<br \/>\nGrazing credits \u2013 tiers<br \/>\nCapital improvement credits<br \/>\nBoth combined, up to 50% of lease payment<br \/>\nAnnual meeting with EBMUD soon to determine capital improvement projects<br \/>\nProjects are memorialized in the Annual Grazing Plan, which also lists work EBMUD hopes to do, weed control expectations, protected species, etc.<br \/>\nAGP project priorities<br \/>\nEBMUD\u2019s criteria for capital improvement projects:<br \/>\nDoes not include routine maintenance OHA is required to do under terms of lease: internal fences and gates, troughs, plumbing, electrical, buildings, corrals, etc.<br \/>\nEMBUD refers to this work as \u201cLong-Term Maintenance\u201d in the lease &#8211; Needed no more than annually<br \/>\nPromote improvement or preservation of the varied ecosystems on the property<br \/>\nNot projects that are strictly for OHA\u2019s convenience<br \/>\nClarification: Maintenance of boundary fences is OHA responsibility not EBMUD.  This is especially an issue with firebreak project.<br \/>\nHeather asked membership for ideas and wrote them up on flip charts.<br \/>\nThen each member present was given 3 green dots and 3 purple dots to put next to these listed projects. This is to collect membership views but the decision making process remains with the Board.<br \/>\nGreen = indicates member is supportive of and views as a priority.<br \/>\nPurple = indicates member is not supportive of and does not view as a priority.<br \/>\nAttachment One \u2013 attached below &#8211; lists all the items from the flip charts and summary of the final number of green and purple dots.<br \/>\nBoard Elections<br \/>\nBoard members: (Elected term is 2 years.
