Board Meeting Minutes 10-30-2017
Meeting commenced around 7PM
Held at Sally’s house
Sally bought deep dish pizza and dinner was potluck
Board Members Present: Page, Diane, Anna, Wakean, Sally, Linda and Heather
Reminders: Work Party – All members are encouraged to attend and EBMUD has offered to attend. This will be a great chance to show them our cooperative spirit. Getting ready for winter will be the priority! Work hours were due by Sept 1. If you haven’t submitted your work hours, please do so now. If you did not complete the required number of hours, you now owe $15 per hour to Page for all/any work hours not completed. Payment is due by November 30. Hay payments were due in September. If you haven’t yet paid for your hay, now is the time. OHA is currently short almost $1000 s for personal use hay. Work will be done on the pavilion in the coming weeks – if your horse happens to be in the way of construction please expect that your horse may be moved to accomplish the repairs needed. Work on the pavilion to make it safe and dry is a priority.

1) Proposed Agenda – Approved
2) Meeting Minutes from last meeting and annual meeting were approved
3) Interview of Associate Member:Marina Pugliese was approved as an associate member for Page.
4) Review Planning Grid
a) Feed on weeds – we’re doing that
b) Renew CSHA Membership – Page will do this
c) Pay EBMUD bill – Page will follow up to confirm amount and ensure payment is timely
d) Wormers for December – Liz will order wormers.
e) File corporate Tax form – Page will look into taxes and confirm what needs to be paid
5) Membership Issues:
a) Discussion was had about horse health forms, what they contain. This discussion was postponed to the next meeting to allow time for research.
b) Clarification was requested on who should collect horse health forms, and checks from new members. The Membership Chair, currently Eddie, should collect all forms and payment and will disseminate as needed allowing one point of contact for members. This ensures that all paperwork requirements are met before a new member is given a key.
c) Eddie is setting up interviews for a new member to fill the vacant space. More information coming soon.
6) EBMUD
a) The board discussed fencing at the bottom of the Pond pasture along El Toyonal road across from the pavilion – the board agreed that an electric fence installed a few feet inside the existing barb wire would be the most cost- and time-efficient manner of making the area safer.
b) Wakean will ask EBMUD to check the bridge to make sure it is in good condition above and below.
c) Red barn repairs – we used $800 in capital improvement funding last year, and $800 (assuming approved by EBMUD) from this year for repairs – Wakean will continue to lead this effort.
d) Wakean and Larry have done a tremendous amount of work on the red barn and white shed. Great work by both to help get ready for winter.
7) Budget:
a) Page presented, and the board reviewed, the budget with some corrections. Page will be sharing this with the club with some revisions.
b) Hay – Payments for hay purchased on 2016-2017 are now due. Page and Diane will be following up with anyone who still has outstanding payments for hay.
8) Prioritization of Projects
a) At the annual meeting members generated a list and voted on priorities for the coming year. The board began a review of these items and will continue to do so.
9) Task List was reviewed and volunteers will be contacted to confirm interest
a) Heather contacted many members who have volunteered to help in numerous ways. The final list will be distributed soon.
10) Looking for stuff to do?
a) Fencing needs improvements – ask Wakean or Sally for more information
b) The drain from the pond needs to be cleared out (pond is overflowing)
c) The pond barn needs to be re-stained
d) Not sure how you can help? Just ask a board member!
11) Sally’s trailer: The pavilion sheds currently leak, so Sally has offered to let members use her trailer for hay storage. She has been granted an extension to keep her trailer at OHA.
